About You

You are an organizational wizard behind the scenes, ensuring that everything from emails to schedules is managed precisely and professionally. You are excited to play a pivotal role in the smooth operation of Lugano Diamond’s executive tier. Your professional experience and aptitude extend beyond mere administrative tasks, rather, you act as the gatekeepers of communication, prioritizing, and filtering information to facilitate executive focus on strategic initiatives.

In this newly created position due to growth, reporting directly to Lugano’s President, the Sales and Marketing Assistant role is multifaceted and dynamic. You will be seen as the right-hand person, a role that is both challenging and rewarding, offering a unique insight into the heart of Lugano’s business operations.

What You Will Do

  • Maintain executive calendar, prioritizing appointments, meetings, deadlines, and travel commitments, anticipating conflicts and proposing solutions
  • Prioritizing emails and phone calls for response
  • Schedule meetings, including preparing and distributing agendas, creating meeting materials, reserving and preparing meeting spaces, and recording meeting minutes
  • Compose and draft professional correspondence and presentations, ensuring clarity, accuracy, and adherence to the President's and Lugano’s voice and style
  • Manage travel (domestic and international), including air, lodging, transfers, and ground transportation, with traveler preferences and budgets in mind
  • Exercise considerable judgment and discretion in handling requests for appointments
  • Proactively communicate travel itineraries and schedule changes, which can arise outside of regular business hours
  • Manage and support special projects and initiatives, prioritizing tasks, gathering information, and ensuring timely completion
  • Maintain a highly organized filing system for both electronic and hard copy correspondence, reports, and documents
  • Perform other administrative tasks as assigned

What You Bring

  • Proven experience as an effective Executive Assistant for senior leadership 
  • Experience with high-touch events, high-end retail or hospitality preferred
  • Expert level skill set in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling software
  • Excellent communication and interpersonal skills, with the ability to build rapport with a wide variety of stakeholders
  • Strong organizational, prioritization, and time management skills
  • Impeccable discretion and ability to maintain confidentiality
  • Curious thinker and research-oriented
  • Highly organized with strong critical thinking skills
  • Meticulous attention to detail and a commitment to accuracy

 Pay Transparency

Targeted base compensation is $100,000 plus annual bonus. Work location and additional factors determine the total compensation package, including job-related skills, experience, and relevant education or training.

Our Work Environment

Our workplace is clean, orderly, appropriately lighted, and ventilated with proper safety compliance. Noise levels are considered low and daily physical activities are considered light: office work, seldom lifting to 25 pounds, bending, stooping, kneeling, or walking. Employees must have the stamina to work long hours if assigned. Hours and days of work may vary by position.
